Primary Responsibilities:
- Performs receptionist functions:
- Greets and services all clients and visitors using professional, pleasant, and efficient conduct.
- Checks in clients and verifies Client Demographic and Insurance information to a degree of 100% accuracy.
- Collects client payments; enters into the computer software application, including the client ID number to a degree of 100% accuracy. Provides receipt to client. Drops money bag into the locked safe before leaving.
- Is responsive and accurate in directing clients and visitors to appropriate areas.
- Notifies clinicians immediately upon the arrival of their counseling appointments.
- Answers incoming phone calls.
- Locks all client information before leaving to a degree of 100% accuracy.
- Locks the front door. Secures the reception area before leaving for the night.
- Checks in groups and verifies Client Demographic and Insurance information to a degree of 100% accuracy.
- Operates the postage machine and stamps the daily mail by noon of each workday. Dates and postage amounts will be correct to an accuracy of 100%.
- Assists other support staff in their absence.
- Assists support, records, and billing staff with overflow of other duties.
- Scans specified documents as assigned.
- Schedules ongoing client appointments. Verifies client name and ID to a degree of 100% accuracy. Prevents conflicting appointments.
- Maintains clinician schedules.
- Maintains cancellation lists. Attempts to fill cancelled appointments.
- Mails and/or faxes letters and documents as needed or requested.
- Processes intake paperwork, as needed, to a degree of accuracy and completeness of 100%:
- Directs the client to the Financial Resources Coordinator for financial assessment and assures that all forms are signed.
- Distributes paperwork to clients, as needed.
- Reviews forms for completeness. Obtains signatures and dates.
- Follows proper protocol to notify clinician.
- Maintains a current inventory of all necessary forms in the forms box and packet cabinet.
- Makes reminder calls, as needed, and documents all attempts.
